Job Title: Grounds & Facilities Manager
Employment Type: Full Time, Salary
Salary: As per Employment Agreement
Reports To: General Manager
Work Schedule: 7 am - 4 pm, 40 hours weekly, and “on call” for emergency repairs on weekends, after hours, or during high season. Additional hours/days worked will be counted as complimentary time and utilized during slow periods.

POSITION OVERVIEW
The Grounds and Facilities Manager is responsible for the overall maintenance and management of all campus facilities and grounds. This role includes leading and managing the facilities team, ensuring the safety and aesthetic quality of the grounds, and maintaining all buildings, equipment and systems. The manager will report directly to the General Manager.

QUALIFICATIONS & QUALITIES

  • Experience: Hands-on experience in facility and landscape maintenance is required.

  • Leadership: Ability to lead and manage multiple team members on separate and/or simultaneous projects.

  • Problem-Solving: Proactive in identifying and solving problems, often with a keen attention to detail. 

  • Values: Demonstrates honesty, integrity, punctuality, and respect.

  • Communication: Fluent in verbal and written English and Spanish.

  • Mathematics: Competent in basic mathematical calculations for volume, dimension, and cost estimates.

  • Computer Skills: Proficient with spreadsheets, word documents, and email communication.

  • Organizational Skills: Capable of collecting, organizing, and distributing necessary documentation.

LEADERSHIP AND MANAGEMENT EXPECTATIONS

  • Timeliness: Arrive on time and ensure the team does the same. Regulate attendance and cross-check timesheets for accuracy.

  • Organization & Protection of Assets: Maintain, repair, and safeguard all tools, machinery, vehicles, and materials. Implement inventory systems and ensure proper storage and maintenance.

  • Delegation: Conduct daily briefings, create weekly work calendars, and ensure the team has the necessary tools, materials, and knowledge for tasks. Evaluate team members and delegate tasks accordingly.

  • Supervision: Oversee all daily maintenance tasks.

  • Corrective Action: Address and report any issues immediately, working with the General Manager and HR to document actions taken.

  • Communication: Maintain regular contact with the General Manager and other department managers. Provide updates and reports as required.

  • Maintenance & Repair: Conduct routine inspections and maintain records of all assets, ensuring safety, soundness, and aesthetics.

  • Budget Management: Estimate and manage budgets for repairs, maintenance, and projects. Obtain cost quotes and ensure adherence to approved budgets.

  • Scheduling/Hiring/Firing: Manage team schedules, screen potential hires, and follow company policy for hiring and firing, in coordination with the General Manager and HR Manager.

  • Safety: Ensure the safety of all facilities and team members, including proper use of vehicles and machinery. Implement safety protocols and conduct training.

  • Emergency Preparation Protocol: Develop and implement emergency protocols for the department. Assist in broader emergency planning efforts.

  • Training: Receive and provide ongoing training in systems, operations, and best practices.

Building Maintenance & Repair:

  • Conduct routine inspections of all structures, including structural integrity, electrical systems, plumbing, security, and pest control.

  • Create and submit reports of findings during routine inspections.

  • Plan and execute minor repairs; major repairs are handled by the Lessor.

  • Address incident reports promptly and incorporate corrective actions into daily tasks.

Grounds Maintenance & Repair:

  • Conduct routine inspections of campus grounds, including lawns, gardens, campgrounds, parking lots, access roads, fire breaks, fences, water systems, and waste management areas.

  • Create and submit reports of findings during routine inspections.

  • Plan and execute minor repairs; major repairs are handled by the Lessor.

  • Address incident reports promptly and incorporate corrective actions into daily tasks.

Department Assets Maintenance & Inventories:

  • Conduct routine inspections, maintenance, and inventories of company assets, including materials, tools, equipment, machinery, and vehicles.

  • Organize and clean assets and storage systems as needed.

  • Use Sign In/Out sheets for asset tracking.
